Terms of business

The plain-English terms for using Letmode. Last updated 13 October 2026.

1. About these terms

These terms of business (“Terms”) apply when you use Letmode, the property management service at letmode.co.uk and our web app (the “Service”). Letmode is provided by [Company name] Ltd, a company registered in England and Wales (company number [company number]), registered office [registered office address] (“we”, “us”).

By creating an account or using the Service you agree to these Terms. If you use Letmode for a business (for example as a landlord letting property), you do so as a business customer. Nothing in these Terms affects rights you have by law that cannot be excluded.

2. What Letmode does

Letmode helps landlords keep records for their properties. It lets you capture receipts, track rent and expenses (including from connected bank accounts), record compliance certificates and key dates, produce reports and exports, and prepare figures for Making Tax Digital (MTD) for Income Tax.

Letmode is a record-keeping tool, not an accountant, tax adviser or solicitor. Categories, calculations, reminders, AI suggestions and MTD figures are provided to help you, and you are responsible for checking them and for your own tax returns, submissions and legal obligations as a landlord. Take professional advice where you need it.

3. Your account

You must be 18 or over and give accurate details. Keep your login secure and don't share it; you're responsible for activity on your account. Tell us straight away at hello@letmode.co.uk if you think someone else has accessed it.

4. Plans, prices and billing

Our plans are:

  • Starter — £12 a month, up to 2 properties.
  • Pro — £24 a month, up to 10 properties.
  • Portfolio — £48 a month, unlimited properties and 1-to-1 support.

Prices include VAT where applicable. Subscriptions are billed monthly in advance by card through our payment provider, Stripe, and renew automatically until cancelled. You can upgrade, downgrade or cancel at any time from Billing; changes to your plan take effect as shown at the time you make them.

If a payment fails we may limit features until it's paid. We may change prices or plan limits by giving you at least 30 days' notice by email; if you don't accept a change you can cancel before it takes effect.

5. Cancelling and refunds

When you cancel, your subscription runs to the end of the period you've paid for and isn't renewed. We don't refund part-used periods unless the law requires it or we've failed to provide the Service as described.

You can export your data at any time (Export page). After your account closes we keep your data for 30 days so you can come back, then delete it, except where we must keep records by law (for example billing records).

6. Support and response times

Help is available through our support page. Simple questions may be answered instantly by our help articles or our AI assistant; you can always ask for a person instead. Our target times for a human reply are:

  • Portfolio — the same business day for requests received by 3pm.
  • Pro — the next business day.
  • Starter — within 2 business days.

Business days are Monday to Friday, 9am to 5:30pm UK time, excluding bank holidays in England. These are targets we work hard to meet, not guarantees of a full resolution in that time.

7. Bank feeds, HMRC and other services

Bank connections are provided by TrueLayer, which is authorised by the Financial Conduct Authority. You connect on your bank's own pages and can withdraw access at any time; banks usually ask you to re-confirm every 90 days. Letmode's access is read-only — we can't move money.

HMRC. Where Letmode connects to HMRC, you sign in on HMRC's own pages and authorise Letmode to act for you. You're responsible for reviewing anything before it's submitted. HMRC decides which software it recognises; we can't guarantee HMRC availability or acceptance.

AI features (receipt reading, expense categorisation and support answers) are powered by Anthropic's Claude models. The content needed for each task — such as a receipt photo or payment descriptions — is sent to Anthropic to process. AI output can be wrong, so please check it.

We're not responsible for third-party services we don't control, but we choose reputable providers and will tell you about significant changes.

8. Your data

You own the data you put into Letmode. You give us permission to store and process it only to provide and improve the Service, as described in our privacy notice. We store data with Supabase in the EU, protect it with access controls so only you can see your records, and never sell it.

We act as a data controller for your account details and as a processor for personal data about tenants and others that you add. You're responsible for having a lawful basis to record that information and for keeping it accurate.

9. Acceptable use

Don't use Letmode to break the law, upload malicious code, try to access other people's data, overload or reverse-engineer the Service, or resell it without our agreement. Fair-use daily limits apply to features with running costs (such as receipt scanning and AI) to keep the Service fast for everyone.

10. Availability and changes

We aim to keep Letmode available at all times but can't promise it will be uninterrupted or error-free, for example during maintenance or if a provider has an outage. We improve the Service regularly and may change features; we won't remove a core feature you pay for without reasonable notice.

11. Our liability

We're responsible for loss you suffer that is a foreseeable result of our breaking these Terms or failing to use reasonable care and skill. We're not responsible for loss that wasn't foreseeable, for business losses such as lost profits or opportunities, or for loss caused by inaccurate information you provide, decisions you make using the Service, or tax penalties arising from submissions you approve.

Our total liability to you in any 12-month period is limited to the amount you paid us in that period. Nothing limits liability for death or personal injury caused by negligence, fraud, or anything else that can't be limited by law.

12. Suspending or ending your account

We may suspend or close an account that seriously or repeatedly breaks these Terms, or where we're required to by law, and will tell you why where we can. You can close your account at any time.

13. Changes to these terms

We may update these Terms. If a change materially affects you we'll email you at least 30 days before it applies. The latest version is always on this page.

14. Complaints and governing law

If you're unhappy, contact us at hello@letmode.co.uk or through support and we'll try to put it right. These Terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
