Frequently asked questions

Quick answers to the things landlords ask most. Can't find it? Contact support.

Getting started

How do I add a property?+

Go to Properties and choose "Add property". Enter the address and purchase details — you can add tenants and rent on the Rent page afterwards.

How do I set up a tenant and their rent?+

Open Rent and choose "Add tenancy". Enter the tenant, property, rent amount, how often it’s due and the due day. Add the bank reference they use so payments match automatically.

Receipts & expenses

How does receipt scanning work?+

On Add expense, choose "Take photo" or "Upload". Letmode reads the date, supplier, amount and category for you to check, then saves the photo with the expense so you can view it later.

My receipt couldn’t be read — what now?+

Fill the fields in by hand — the photo is still saved with the expense. Clear, flat, well-lit photos read best. If scans keep failing, the message under the photo explains why (for example the daily limit or file size).

Which category should an expense go in?+

Categories follow HMRC’s property headings. Like-for-like repairs are "Repairs and maintenance"; improvements are "Capital Expenditure" (not deducted from rental profit); mortgage interest is "Property finance costs", which gets a 20% tax credit rather than a deduction.

Bank feeds & rent

How do I connect my bank?+

Go to Bank and choose "Connect a bank". You’ll sign in on your bank’s own page via TrueLayer (FCA-regulated) — Letmode never sees your bank login and has read-only access.

My bank connection says it has expired+

Banks require you to re-confirm access every 90 days. On the Bank page, choose "Reconnect" and approve again — your existing transactions and matches are kept.

A rent payment wasn’t matched to my tenant+

Payments match on the tenant’s bank reference, or their surname plus the exact rent. On the Bank page, pick the tenant from the dropdown next to the payment, and add their usual reference to the tenancy so future payments match automatically.

How do I turn bank payments into expenses?+

Open Bank → "Review outgoing payments". Choose "Suggest categories" and Claude proposes a category and property for each payee. Check them, then approve — Letmode links to any matching receipt so nothing is counted twice.

Compliance

How do compliance reminders work?+

Add each certificate on the Compliance page with its issue date — Letmode suggests the expiry (gas 12 months, EICR 5 years, EPC 10 years) and flags it as it becomes due. Mark items "Not applicable" where they don’t apply, such as gas in an all-electric flat.

How do I record deposit protection?+

Edit the tenancy on the Rent page and fill in when you received the deposit, when it was protected, the scheme and reference. Unprotected deposits show a 30-day deadline on Compliance.

Making Tax Digital

Does Making Tax Digital apply to me?+

It depends on your gross rental and self-employment income: over £50,000 (from April 2026), £30,000 (from April 2027) or £20,000 (from April 2028). Use the free MTD checker at /mtd-checker for your dates.

Can Letmode submit my quarterly updates to HMRC?+

Letmode prepares your quarterly figures in HMRC’s format (Export → Making Tax Digital) for you or your accountant to submit. Direct filing to HMRC is being prepared and will switch on once HMRC approves new software for production.

Billing & account

What plans are there?+

Starter £12/month (up to 2 properties), Pro £24/month (up to 10) and Portfolio £48/month (unlimited properties with 1-to-1, same-business-day support). You can change or cancel any time from Billing.

How do I cancel or change my plan?+

Go to Billing → "Manage subscription". Cancelling stops renewal at the end of your current period; you keep access until then and can export all your data.

I can’t sign in / forgot my password+

On the sign-in page choose "Forgot password?" and we’ll email a reset link. Check your spam folder if it doesn’t arrive within a few minutes.

How do I export my data?+

Go to Export to download an Excel workbook (profit & loss per property, every rent payment and all expenses), or the Making Tax Digital quarterly figures.

Is my data secure?+

Your data is stored with Supabase in the EU and only you can access your records. Bank access is read-only through TrueLayer, and HMRC sign-in happens on HMRC’s own site — we never see those passwords.
